Member Management

Manage the full member lifecycle — from registration and renewals to profiles and tags.

Member Lifecycle

Every member in Membicus goes through a defined lifecycle:

  1. Prospect — Someone who has expressed interest but hasn't joined yet
  2. Pending — Registered but awaiting payment or approval
  3. Active — Current, paid-up member
  4. Grace Period — Membership expired, within renewal window
  5. Expired — Past the grace period, no longer active
  6. Cancelled — Voluntarily left or removed by admin

Membicus automatically moves members between statuses based on payment events and expiration dates. You can also manually change a member's status at any time.

Member Registration

Members can register through multiple channels:

  • Public signup page — Available at yourchamber.membicus.com/signup
  • Embedded widget — A form you can embed on your existing website
  • Admin-created — Staff can add members directly from the admin panel

During registration, members select a plan, fill in their profile details, and complete payment (if applicable). They receive a welcome email with login credentials.

Member Profiles

Each member has a profile that includes:

  • Contact information (name, email, phone)
  • Company/organization details
  • Membership plan and status
  • Payment history
  • Event attendance records
  • Tags and categories
  • Custom fields (configured by the chamber)

Members can update their own profile from the dashboard. Admins can edit any member's profile and see additional data like payment history and internal notes.

Membership Renewals

Membicus handles renewals automatically based on your plan settings:

  • Auto-renew — Members with saved payment methods are charged automatically
  • Renewal reminders — Automated emails sent 30, 14, and 7 days before expiration
  • Grace period — Configurable window (default 30 days) after expiration before marking as expired
  • Renewal invoice — Members can pay their renewal online through their dashboard

You can configure renewal settings per plan, including the grace period length and whether auto-renewal is enabled by default.

Set up renewal reminder emails early — they have the highest open rates of any automated email and significantly reduce involuntary churn.

Bulk Import

Import members in bulk using a CSV file. Membicus supports importing:

  • Member name, email, phone
  • Company name and details
  • Membership plan assignment
  • Join date and expiration date
  • Tags and categories

To import, go to Admin → Members → Import and upload your CSV. You'll see a preview of the data with field mapping before confirming the import.

Always back up your member data before running a large import. While imports can be reversed, it's easier to prevent issues than fix them.

Tags & Categories

Organize your members with tags and categories:

  • Tags — Flexible labels you can apply to any member (e.g., "Board Member", "Sponsor", "Volunteer")
  • Categories — Business type classifications used in the directory (e.g., "Restaurant", "Retail", "Professional Services")

Tags are useful for filtering members in lists, targeting email communications, and generating reports. Categories power the directory's browse-by-type functionality.
